Booking a Mount Kilimanjaro climb or day trip with Discount Treks signifies your agreement to the terms and conditions outlined on this page, designed to ensure a clear and mutual understanding between you and our team. Climbing to 5,895 meters (19,341 feet) or exploring Kilimanjaro’s landscapes requires careful planning, and our policies reflect the logistical and operational realities of delivering a safe, high-quality experience. Governed by the laws of Tanzania and managed by our experienced staff, these terms cover payment requirements, cancellation procedures, and provisions for unforeseen events, providing a framework that supports both your adventure and our commitment to excellence.

Booking and Payment

To secure your place on a Kilimanjaro trek or day trip with Discount Treks, a deposit is required at the time of booking, representing 20% of the total trip cost. This deposit is non-refundable, reflecting the immediate costs incurred by our team to reserve permits, crew, and equipment on your behalf with Kilimanjaro National Park and other suppliers. The remaining balance must be paid in full no later than 30 days prior to your departure date, settled via bank transfer, credit card, or cash (USD or TZS) at our Moshi office. Failure to complete payment by this deadline may result in the cancellation of your booking, with the deposit forfeited. Once payment is finalized, our staff issues a confirmation, detailing your itinerary and any additional services, such as gear rentals or portable toilets, ensuring all arrangements are set for your journey.

Cancellation Policy

Discount Treks understands that plans may change, and our cancellation policy is structured to balance flexibility with the operational commitments we undertake. If you need to cancel your booking, the refund amount depends on the timing of your notification. Cancellations made 90 days or more before the departure date entitle you to a partial refund of any payments made beyond the non-refundable 20% deposit, with the refunded portion processed within 30 days of your written notice. For cancellations between 89 and 30 days prior to departure, 50% of the total trip cost is retained by Discount Treks to cover pre-arranged expenses, with the remainder refunded. Cancellations within 29 days of the departure date result in no refund, as our team will have fully committed resources guides, porters, and permits at that stage.
 
All cancellation requests must be submitted in writing via email to info@discounttreks.com, and our staff will confirm receipt and process any applicable refunds promptly.

Transferability and Modifications

In lieu of cancellation, Discount Treks offers the option to transfer your booking to another individual, subject to availability and our approval. This process incurs an administrative fee of $50 per person, covering the costs of updating permits and records with Kilimanjaro National Park, and must be requested at least 30 days prior to departure with the new participant’s details provided in writing. Modifications to your booking, such as changing the departure date or route, may also be accommodated if requested 60 days or more in advance, subject to availability and a $25 fee per change, though price differences for the new itinerary may apply. Within 59 days of departure, modifications are not guaranteed, and cancellations may be required instead, adhering to the refund timeline outlined above.

Force Majeure and Unforeseen Circumstances

Discount Treks acknowledges that events beyond anyone’s control such as natural disasters, political instability, or severe weather may disrupt travel plans. In cases of force majeure, as determined by our team in consultation with Kilimanjaro National Park authorities, we reserve the right to alter, postpone, or cancel your trip to ensure safety.
 
If cancellation occurs due to such circumstances before departure, climbers are eligible for a full refund of payments made, excluding the non-refundable deposit, or may opt to reschedule without penalty, subject to availability. Should force majeure interrupt a trip already underway, our guides will prioritize your safety, potentially adjusting the itinerary or facilitating evacuation, with no refunds provided for unused portions but insurance claims supported where applicable.

Responsibility and Insurance

Discount Treks commits to delivering a professional and safe experience, with our guides and staff adhering to industry standards and park regulations. However, climbing Kilimanjaro involves inherent risks altitude, weather, and physical exertion and participants accept responsibility for their personal safety and belongings.
 
We require all climbers to obtain comprehensive travel insurance covering high-altitude trekking, medical emergencies, and trip cancellation, with proof submitted prior to departure. Our team is not liable for injury, loss, or damage arising from factors beyond our control, though we provide assistance in emergencies, including coordination with rescue services.
 
By booking, you confirm your fitness for the trek and agreement to follow our guides’ instructions, ensuring a collaborative effort toward a successful climb.
